JOB SUMMARY:

The Senior Privacy and Compliance Analyst helps execute Polaris’ vision to be a customer-centric, highly efficient growth company by partnering with the Global Head of Ethics & Compliance to support the Polaris Ethics & Compliance Program, as well as Privacy & Cybersecurity Counsel to mature and evolve the Polaris Privacy Program. 

The Privacy and Compliance Analyst plays a leading role in monitoring and processing all global Navex/EthicsPoint complaints and conflict of interest disclosures and works with cross-functional teams to develop and implement operational processes to address compliance and privacy requirements.

The ideal candidate will possess strong cross-functional communication, collaboration, and leadership skills; emotional strength and maturity; and sound project management and organizational skills. 

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Responsible for intake and processing of all global EthicsPoint complaints and conflict of interest disclosures
  • Oversee operability of Navex reporting platform and troubleshoot/update with vendor as necessary
  • Maintain regular touchpoints with Legal Ethics & Compliance team members, providing assistance as needed
  • Monitor and respond to inquiries submitted via the Company’s Compliance and Ethics email inboxes
  • Prepare monthly MOR slide summarizing EP complaint activity and metrics
  • Prepare materials for quarterly Compliance Committee and Audit Committee meetings, including PPT deck, EP complaint analysis, etc.
  • Serve as primary liaison with external vendors, including Navex, LRN and Ethisphere. 
  • Serve as primary project leader for annual Code of Conduct training for salaried and hourly employees
  • Prepare materials for annual Code of Conduct training and respond to ad hoc requests/inquiries regarding same
  • Maintain and periodically update the Polaris Code of Business Conduct and Ethics document and accompanying policies
  • Respond, as needed, to EP-related inquiries from HR and other stakeholders
  • General oversight and responsibility for Ethics & Compliance internal and external websites
  • Represent Polaris in relevant E&C focused peer groups/networks
  • Assist with processing and evaluation of due diligence reports on vendors and other third-parties
  • Partner with the Information Services team and Privacy & Cybersecurity Counsel to maintain and implement Polaris’ process for responding to individual rights requests
  • Partner with the Privacy & Cybersecurity Counsel to maintain Polaris’ process for conducting Privacy Impact Assessments (PIAs) and Data Protection Impact Assessments (DPIAs)
  • Analyze relevant facts to help identify privacy risk and provide practical guidance to assist Polaris teams in achieving their goals while appropriately addressing privacy requirements and principles
  • Assist the Privacy and Cybersecurity Counsel with the maintenance and enhancement of Polaris’ privacy policies and notices
  • Collaborate with the Privacy & Cybersecurity Counsel to develop and deliver appropriate privacy training and awareness to various business and functional teams throughout Polaris
  • Partner with the Privacy & Cybersecurity Counsel to enhance the maturity of the Polaris privacy program and adapt it to changes in global privacy laws and enforcement activities, and Polaris business initiatives
  • Build relationships with external and internal business stakeholders across the globe to support communication and training related to the Polaris Code of Conduct and Business Ethics Hotline

QUALIFICATIONS:

  • 5+ years of experience as a data privacy and/or compliance professional
  • Bachelor’s degree required – preference for Legal, Business, Communications, or related field of study
  • Relevant privacy certification(s) (e.g. CIPP, CIPM, CIPT) a plus
  • Ability to obtain and digest relevant facts and data flows to help assess compliance and privacy risks and develop appropriate risk mitigation strategies
  • Strong verbal and written communication skills, including the ability to inspire action from a diverse technical and non-technical audiences with different levels of seniority
  • Ability to help translate legal requirements and advice into operational recommendations and provide practical guidance to assist business and technical teams in obtaining their goals while appropriately addressing compliance and privacy requirements and principles
  • Strong cross-functional collaboration and leadership skills, with the ability to drive and manage projects proactively, and negotiate appropriate risk-mitigation strategies
  • High emotional intelligence that shows emotional strength and maturity
  • Sound project management skills (e.g. project charters, trackers, timelines, and reports)
  • Strong organizational skills and ability to balance competing priorities in a very fast-paced environment
  • Experience working in matrixed, global organizations and knowledge of other cultures and/or languages a plus

WORK ENVIRONMENT:

  • Hybrid working model (in office/WFH). Onsite schedule based on business need.
  • Potential for remote based with travel to Polaris locations based on business need, dependent on candidate qualifications.
  • Limited travel required, up to 25%

The pay range for Minnesota is $104,000 to $130,000 per year. Individual salaries are determined through a wide variety of factors including but not limited to education, experience, knowledge, skills, and geography.
