What you'll be doing:

  • Deliver complete and accurate case file packages to the government that are ready for further adjudicative processing based on applicable handbooks and processing guides.
  • Initiate employees’ Electronic Questionnaire for Investigations Processing (e-QIP) or successor system; ensure submission of fingerprints.
  • Assist in preparation for security audits and end-of-day procedures, be responsible for the reception area for access control, badging of visitors, mail receipt and delivery and other ancillary duties and projects expected in a professional office environment.
  • Work closely and communicate with other Branches and the customer(s) as needed.
  • Enter all required data into the PERSEC Systems accurately with zero errors.
  • handle all mail in accordance with (IAW) COMDTINST M5110.1B (Postal Manual), and ensuring adherence to the most recent issuance of all DCMS-34, USCG, Department of Homeland Security (DHS) and Department of Defense (DoD) mail handling policies and regulations.
    • Perform a daily inventory and weekly usage analyses of mailing/shipping supplies to preclude a delay in any functions associated with the mail room and shipping and receiving.
    • Receive, distribute, and store mail/shipping receipts securely and so as to not block access or egress paths.
  • Responsible for the receiving, screening, validation and processing of documents and case files.
    • DCMS-34 estimates annual case requests at approximately 12,000. Vast majority of these are received digitally (via email) with <10% received as paper documents requiring digitization.
  • Interact directly with SECCEN customers via telephone and email correspondence.
  • Utilize designated databases and systems in support of DCMS-34 security functions. These systems include but are not limited to the Defense Counterintelligence and Security Agency (DCSA) NP2 Portal, e-QIP (or successor system), Central Verification System (CVS), Coast Guard Business Intelligence, Integrated Security Management System (iSMS).
  • Review and process SECCEN Submissions email inbox for routing of documents and emails to applicable SECCEN team and/or digitization and upload to iSMS case or appropriate electronic document folder.
    • Investigation requests shall be completed within timeframes outlined in DCMS-34 process guides and policy, Office of Personnel Management and Director of National Intelligence timelines.
  • Digitize paper mail and route to appropriate SECCEN team or electronic document folder.
    • Scan paper records with a temporary disposition using the scanning hardware and software provided by the Government, ensuring that each page within the record scans accurately, IAW DCMS-34 process guides.
    • Perform quality review the scan and file or destroy the paper version per DCMS-34 procedures and Federal Records Management Schedule.
    • Move the digital document to the appropriate case or file storage location, once confirmed as an accurate copy, following DCMS-34 procedures, and update any required system tracking status.

Minimum Experience: Citizenship: Must be a U.S. Citizen Clearance: Must have an active DoD Secret clearance Education: High School Diploma Years of Experience: 7 years of directly related experience in Enterprise Architecture   Preferred Qualifications: Education and Experience: BA/BS degree with 2 years of experience or an equivalent mix of education and experience
  • Basic personnel security knowledge 
  • Security experience
