The Role
Public Safety Administrative Assistant is the first point of contact for all agency new hires, employees and contractor badge requests. Due to the importance of this role, it is critical for the Public Safety Administrative Assistant to be courteous, helpful organized, able to multi-task, motivated and have a high level of customer service. The Public Safety Administrative Assistant acts as a liaison between all external contractors and internal departments to ensure all parties are aware of company access control policies and procedures. The Public Safety Administrative Assistant must maintain a high degree of communication skills, organization, and professionalism at all times to ensure all access control issues are efficiently resolved.
Responsibilities
• Administers badge system and associated controls.
• Assist employees and contractors with attaining proper facility access while supporting HR during onboarding and off- boarding personnel.
• Ensure all processes and guidelines, in accordance with BI-State Development SOP’s, are followed when creating and distributing access badges. Remove access privileges and deactivate badge profiles from separated staff.
• Work with Security Data Analyst and Infrastructure, Access and Risk Coordinator on associated policies.
• Perform data entry of highly confidential and sensitive information into the computer for the badge program.
• Assist with answering office telephone; answering questions from employees, contractors, visitors concerning badge issues; typing memos and general office functions as needed.
• Assist with other Public Safety administrative duties as assigned.
• Periodic audit of use of badge system by end-users and correct any potential problems with accountability.
• Aids the Director of Security in the implementation and monitoring of the Ride & Abide program, procedures, regulations, and guidelines.
• Aids the Director of Security in working with local and state law enforcement agencies to ensure the quality and timeliness of all Ride & Abide data as well as Notice of Suspensions (NOS).
• Coordinating and providing guidance on administrative actions in accordance to the Ride & Abide program.
• Ensuring all Metro polices, applicable rules and regulations governing use and conduct on Metro property, which are referenced in the Metro Code of Conduct.
• Public Safety Administrative Assistant will assist in the administration of the NOS Appeal hearings.
• Maintaining NOS report management system as well as updates with the Ride & Abide Notification group.
• Aids the Drug & Alcohol Program Manager in the implementation and monitoring of the Department Of Transportation (DOT) Medical Card Program, procedures, regulations, and guidelines that meet the Federal regulations.
• Develop training aids, guides and provide in-depth training to all levels of management on what the DOT Medical Card Program is and the proper administration of the regulations.
• Stay abreast of current regulation changes to keep the organization in compliance with the Federal Transit Administration (FTA).
• Communicate with the medical review officer, when determined necessary, on what needs to be questioned while not violating HIPAA or certain sections of the federal regulations.
• Public Safety Administrative Assistant designs forms, prepare program documents and assist with maintaining and making amendments to Metro’s policy when needed as regulations change.
Knowledge, Skills, & Abilities
- Proficient in Microsoft Office including Word, Excel, and Outlook.
- Ability to communicate effectively, both orally and in writing.
- Ability to interact effectively with Agency management officials, supervisors and employees, safety and security personnel, contract employee’s and the general public.
- Ability to work independently under pressure and under difficult situations.
- Ability to understand and follow instructions.
- Ability to handle and maintain confidential and sensitive information.
- Ability to monitor and record badging proceedings.
- Ability to file and maintain records.
- Possess excellent organizational skills.
- Comprehensive knowledge of the DOT Medical Card Program and related laws and regulations per FTA.
- Ability to classify and enter data accurately.
- Ability to format and analyze data and develop policy & procedure changes as a result.
- Must possess a current valid driver’s license.
- Must type at least 40wpm.
Education
Experience
Degree: High School Diploma required. Bachelor’s degree preferred
Years: 1-3 years’ experience related to administrative support preferred.
Field: Administrative techniques and practices required.
Field: Previous experience in Transit or Public Safety office environment a plus
