Position Summary
As the Information Governance (IG) Compliance Audit Steward, you will help with the execution of the Client compliance processes covering client audits, questionnaires, and certifications. The role will include timely delivery to plans and goals, set from the Manager, following their direction in executing our services.
Key senior stakeholders to interact with include, but is not limited to, the Firm’s General Counsel, Data Protection Officer, Technology Cyber Security leader and Practice Technology department. Additional key stakeholders for client audits and questionnaires will include partners and practice leaders as well as external client compliance teams and certification auditors.

Technology at White & Case plays a key role in enabling our lawyers in practicing law around the world.
Our team comprises three functions: Business Services – who maintains, develops, and supports our enterprise systems, Operations – who designs, builds, and supports our communications and data center operations, and Technology Support – who provides desktop, audio visual and training support. Together we support our lawyers with leading edge technology and systems to deliver elite legal and best-in-class client service.

This encompasses business analysts, data architects, application developers and engineering staff covering a range of technologies that include virtualization, cloud, networking, storage, collaboration services and security. We deploy the latest technology and hardware within our state-of-the-art offices. Our technical support staff support and train our people on the latest hardware and operating systems, remote working capabilities, and mobile devices. Our Shared Services centers deliver Service Desk and Operations functions that support our colleagues and monitor Firm systems 24 x 7.
Working closely with our business services colleagues to support the Firm’s Finance, Human Resources, Marketing, and Knowledge systems, the Technology Department is at the heart of the Firm’s global operations.
Duties and Accountabilities1
Essential duties:
- Help with the execution of the Client compliance processes
- Overall help provide support as needed to Technology compliance tasks
- Ensure daily work and delivery of work product follows the documented processes with quality
- Liaise with the IGC Audit Analyst and other team members to support Firm personnel requests on information governance best practices as well as responses to the above process requests
- Works closely with accountable Firm stakeholders across client compliance to ensure the team coordinates timely delivery of work requests
- Participate in the analysis, design and operation of automated systems and processes, business requirements definitions, workflow and procedure development supporting the above
- Provide support for the annual and quarterly IG enablement sessions
- Assist with legal hold workflows on a as needed basis.
IG Compliance Operations:
- Take and deliver work assignments for the client compliance process domains
- Support the department initiatives to drive changes in working practices and Firm culture to accelerate the adoption of modernized client compliance and certification practices
- Meet the performance expectations of team members and embrace ongoing feedback
- Provides requested operational support for projects relating to client and firm data
- Timely execution of plans and reports progress towards goals relating to client compliance and certification information management and storage
- Where requested to draft, reviews and presents proposals, project plans, status reports, metrics, and other information in a format and style relevant for the intended audience
- Make recommendations on updating and/or drafting team policies and procedures by reviewing and analyzing the team’s systems and requirements in line with our best practices
- Maintain knowledge and experience in all relevant Information Governance systems and procedures within the Firm
- Provide testing and feedback for new Information Governance Compliance systems and procedures evaluated by the Firm
- Meet Firm attendance and reporting requirements and policies
- Provide guidance and support to fellow team member
- Assist with other IG Compliance initiatives as needed
Client Compliance:
- Support the Information Governance Compliance leaders in working closely with the Technology Security Team and Technology Service Management Team to periodically obtain statistics and produce reports related to client-driven deliverables
- Support maintaining the evidence repository used for both internal and external audits including establishing a tracking mechanism to maintain currency of policies, procedures and technical evidence
- Assist with performing research on newly identified client technology-related requirements to determine compliance status
- Assist in auditing procedures to ensure compliance with Firm policies
- Provide GDPR and other Privacy compliance and process support; coordinate execution of Subject Access Requests with OGC
- Liaise with both Technology department colleagues as well as other business services departments including General Counsel, Business Intelligence, Compliance New Business, Marketing and People to obtain relevant policies, procedures, activity reports and key contacts in conjunction with client audit requirements and related initiatives where requested
Firm Certifications:
- Support the team with the Firm’s ISO program and related certification initiatives including efforts to maintain existing certifications and meet requirements for new ones as identified by Technology management
- Help to maintain the schedule of both internal and external Information Security audits (controls, security, and certification)
- Support the coordination of Technology audit-related tasks and facilitate the timely resolution of any audit findings by supporting the action owners within the Firm
- Assist in maintaining the Technology compliance issue management tracking and resolution process that will address known issues, according to severity and potential impact to the organization
- Support the monitoring of the execution and progress of required testing and auditing activities for the IG department by internal and external parties leading to successful certification of the company on an ongoing basis
- Work with owners to ensure that documentation and evidence is kept current with existing practices
- Identify any gaps in documentation, and work with accountable parties to resolve
Qualifications
- This entry-level position in the department seeks candidates that may have 1 or more years' experience in business
- An educational background from a wide variety of disciplines including information technology, legal, compliance, information management, and/or records management will be considered
- Graduate of Computer Science, Management Information System, Business Administration, Political Science, or any related courses prefered
- Client service focus
- Demonstrated ability to deliver clear, concise, and factually accurate written and oral communications appropriate for the intended audience
- Proficiency in a Legal Document Management Systems (DMS) a plus, with preference given to candidates with a working knowledge of iManage Work in a legal setting, including matter workspace and document security
- Prior experience or working knowledge using and/or administering ISO certifications, plus Records Management solutions a plus
- Introductory proficiency in Microsoft Office and M365 applications, (e.g., Word, Excel, PowerPoint, Teams, Visio)
- Introductory knowledge of information governance principles, practices, and technologies.
- Proficiency in using the latest virtual meeting and collaboration platforms (e.g. MS Teams, Webex etc.)

Location and Reporting
- This is a hybrid professional in-office / remote role that is based in our primary offices, that may occasionally require business travel. Must be available to work outside of standard work hours, as needed to meet business demands.
- This role reports to the Information Governance Compliance Manager, Supervisor or Team Leader.
