The Role and the Team
We are seeking a dedicated and experienced Senior HR Operations Specialist to join our dynamic Human Resources team. This role is critical in driving operational excellence and providing strategic HR support across the organization. The ideal candidate will bring a comprehensive understanding of HR practices, contribute to various HR initiatives, and support a positive employee experience.
You will be part of a team of two supporting 98 employees across 11 different countries, located across various different time zones. Due to our current size and speed of growth, our team covers an even wider range of activities than might be expected eg from ordering and co-ordinating IT equipment, arranging IT inductions, facilities and generally anything to do with people! As a small team we work closely together, in what is often a very busy and fast changing environment, and we are always looking for ways to make improvements where we’re able to within the scope of what our current systems and ways of working will allow.
What you’ll do:
- Talent Acquisition Support:
- working with managers to define requirements, draft job descriptions, determine relevant job level and salary bands in accordance with our Radford salary scales, through to getting relevant approvals to start the recruitment process.
- Conducting initial screening interviews to ensure alignment to job requirements and right to work qualification.
- Shortlisting candidates for the Hiring managers, arranging interviews and managing the recruitment process to offer stage via our ATS – Greenhouse, always ensuring the system is kept up to date at all times to ensure that Hiring Managers (and HR) can see the most up to date information in Greenhouse and accurate status reports can be generated
- Onboarding new hires:
- Managing the onboarding process, ensuring that all candidates are appropriately marked as hired in Greenhouse Recruitment and relevant information created in Workday. You will also be responsible for ensuring that all the regional content is sent to candidates, reference verification process is conducted and information for the Welcome Experience, Onboarding Plans are kept up to date and are region/country appropriate.
- Arranging and conducting New Hire Onboarding / Induction sessions, ensuring presentation material is kept up to date for each country/location.
- Track and monitor probation periods and conduct 30-60-90 day check ins
- Visa Support
- Where necessary, instigate the Visa Application process, which will include liaising with the candidate, hiring manager and relevant external contacts to submit all relevant information and documentation to ensure speedy and successful Visa Applications. You will also be responsible for Visa conversions eg Stamp 1G to Critical Skills Visa’s in Ireland, any intra company transfers that require visa support and all visa renewals. This will require records to be kept as to the Visa status of the employee and monitoring to ensure that renewals and extensions are actioned in good time.
- Employee Relations & Counselling:
- The role will also give the post holder the opportunity to support with employee relations matters such as disciplinary and grievance processes, performance management cases, exit interviews
- Policy Development, Documentation and Benefits:
- Write and update position descriptions, benefit guides, employee handbooks and contracts.
- Ensure policies and procedures are clear, consistent, and compliant with legal standards.
- Co-ordinate benefit renewal process and communicate relevant information to employees, including publishing relevant information on FreshService (intranet)
- Compensation & Performance Management:
- Develop knowledge of the company compensation strategy, job levels, salary data to support developmental conversations.
- Support performance review processes
- Data Analysis, Reporting & Payroll:
- Complete the monthly payroll input spreadsheet and run appropriate monthly reports to ensure all relevant information is captured.
- Conduct research and analyse HR data to provide insights and recommendations.
- Prepare reports and presentations for management on key HR metrics and initiatives.
- Responsible for the update, maintenance and administration of all HR Records for EMEA /APAC in Google Drives and Workday
- Project Support:
- Participate in special projects and HR initiatives as needed.
- Collaborate with cross-functional teams to support organizational goals.
What we’re looking for:
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- Ideally qualified to CIPD Level 5 or equivalent (or working towards) or with the relevant experience and interest in HR.
- 5+ years of experience in HR operations, talent management, or a similar role.
- Strong knowledge of HR laws, regulations, and best practices.
- Experience with HRIS systems (Workday and Greenhouse) is required
- Excellent communication, organizational, and problem-solving skills.
- Ability to handle sensitive information with discretion and professionalism.
- Incredible attention to detail and focus on accuracy of information/data.
- Able to remain calm under pressure and maintain efficiency/accuracy at all times.
- Positive “can do” attitude and willingness to support others where needed.
- Passionate about delivering a first-class service to customers and stakeholders, “customer-first” approach.
- Demonstrate curiosity and be willing to ask questions.
- Excellent communication skills - you know how to deal with a variety of people/personalities.
