Calendar Management:
Manage the daily schedule, including appointments, meetings, and travel arrangements for the CEO and members of the ELT. Prioritize important matters and coordinate with internal and external stakeholders as necessary.
Communication Management:
Screen calls and emails, respond to inquiries on behalf of the CEO and members of the ELT. Draft and edit correspondence, and prepare presentations.
Travel Coordination:
Arranging travel logistics for the CEO and members of the ELT such as booking flights, accommodations, and ground transportation.
Document Management:
Prepare reports, memos, and other documents, ensuring accuracy and timely delivery.
Meeting Coordination:
Set meeting agendas, preparing materials, taking minutes, and following up on action items.
Expense Reporting:
Prepare, track and submit expense reports for the CEO and ELT members.
Office Administration:
Assist in ordering office supplies, managing filing systems, and coordinating with other administrative staff.
Project Management:
Assist the Chief of Staff with special projects as assigned by the CEO, including research, data collection, and follow-up.
Confidentiality:
Maintaining strict confidentiality regarding sensitive information.
Required Skills:
- Excellent communication skills, both verbal and written
- Strong organizational and time management skills
- Proficient in Microsoft Office Suite and other relevant software
- Detail-oriented with a high level of accuracy
- Ability to prioritize tasks and manage multiple demands
- Discretion and ability to handle confidential information
- Professional demeanor and strong interpersonal skills
