The Role

As the Sr. Executive Assistant supporting two Executive Leadership Team members, you will own a range of administrative and executive support-related tasks and work independently within established guidelines. You will also need to make decisions in planning, organizing, and scheduling various meetings and projects. A high level of integrity and confidentiality is crucial. This position reports to the Chief Information Security Officer.

In addition to executive support duties, this role includes local office management responsibilities for our Mississippi offices, ensuring smooth daily operations, maintaining a professional office environment, and acting as the point of contact for onsite needs.

What You’ll Do

Supporting the Chief Information Security Officer 40%

Executive Support & Calendar Management

  • Manage complex calendars, schedule internal and external meetings, and coordinate across multiple time zones.
  • Anticipate executive needs and provide proactive, strategic calendar prioritization.
  • Prepare executives for meetings by compiling agendas, background documents, and briefing materials.

Communication & Correspondence

  • Draft, review, and manage sensitive communications on behalf of executives, ensuring tone and accuracy align with leadership style.
  • Act as a liaison between executives and internal teams, clients, and external stakeholders.
  • Filter and prioritize incoming messages and requests to streamline executive workflows.

Meeting & Event Coordination

  • Organize and coordinate executive meetings, board meetings, leadership offsites, and company-wide presentations.
  • Take meeting notes, track follow-ups, and ensure accountability for action items.
  • Partner with internal teams to coordinate logistics and materials for key events.

Travel & Expense Management

  • Plan complex travel itineraries including flights, accommodations, ground transportation, and agendas.
  • Ensure executives are prepared for travel with all necessary documentation and materials.
  • Track, reconcile, and submit expense reports in a timely and accurate manner.

Project & Initiative Support

  • Assist with or own special projects on behalf of executives, including research, data collection, and reporting.
  • Partner with other EAs and department leads to drive cross-functional alignment and communication.
  • Identify opportunities to streamline executive workflows and implement process improvements.

Supporting the Chief Marketing Officer 40 %

Supporting the Mississippi Office 20%

Office Operations & Facilities

  • Maintain a clean, organized, and well-stocked office environment.
  • Order and manage inventory of office supplies, snacks, and beverages.
  • Coordinate with building management and external vendors for office maintenance, cleaning, and repairs.
  • Oversee incoming and outgoing shipments, including mail, packages, and business deliveries.

Hospitality & Employee Experience

  • Order and coordinate monthly team lunches and catering for meetings or events.
  • Greet and manage visitors, ensuring a professional and hospitable first impression.
  • Support the onboarding of new employees by preparing desks, equipment, welcome kits, and access badges.

Event Planning & Coordination

  • Plan and execute internal events such as team-building activities, holiday parties, and all-hands meetings.
  • Collaborate with other departments to organize monthly company updates and ensure logistics run smoothly.
  • Assist with off-site event logistics, including vendor coordination and travel arrangements, if needed.

What You’ll Bring

  • Minimum 6 years of high-level, complex executive administration work experience at the VP level. Supporting a VP-level executive or above in a corporate setting is preferred.
  • Experience with extensive international and domestic travel itineraries.
  • Discretion, diplomacy, and excellent judgment; act with integrity when dealing with confidential and sensitive information.
  • Professional and demonstrated interpersonal skills to work with individuals at all levels of the organization
  • Proficient with Microsoft Suite (Word, Excel, PowerPoint, and Teams), Proficient with engineering tools such as JIRA and Confluence
  • Proven track record of being organized and attentive to details, with the ability to perform multiple tasks and handle changing priorities successfully with little supervision
  • Excellent verbal and written communication skills
  • Action-oriented, with the ability to research issues and find solutions independently.

  • Bachelor’s degree in business administration or project management.
  • Experience managing budgets, vendors, and procurement processes
